Who gets the email
- Anyone who followed the guide from its share page with Notify me of updates and confirmed their address.
- People you add in Who follows this SOP?, once they confirm the email we send them.
- Departments you choose, for members whose email address is verified.
- Team members the guide is assigned to through your team’s assignment rules.
One email per person
Someone who is reached in more than one way, for example a follower who is also assigned the guide, gets a single email.
Members without a verified email address cannot be emailed. AutoEditz counts them and shows the number before you publish.
Publish and check the status
Set up followers
Open the guide in AutoEditz and choose Who follows this SOP? to add people or departments.
Publish the new version
Publishing confirms who will be notified before anything is sent.
Read the status
After publishing, the status line shows how many notifications were queued, how many people are still confirming, and how many could not be emailed.
What the email says
The subject names the guide and its new version. The email lists the steps that changed and links to the guide.
When the video is replaced with a new recording, followers get a separate email with a link to the new video.
Queued means saved for delivery, not yet delivered. Emails usually go out within a few minutes; very large audiences are sent in batches.
Acknowledging changes
If a guide is assigned to you, a new version marks your earlier acknowledgment as out of date. Your email links to My SOPs, where you review the update and choose Mark as read.
Followers who are not assigned the guide get a link to the guide itself and have nothing to acknowledge.
Unsubscribe
Every email has an Unsubscribe link. It stops change emails for that guide from every source, including assignment, and the guide owner cannot turn it back on for you.
To get updates again, follow the guide from its share page and confirm your address.
